Concept of mail merge:
We can explain the concept of mail merge with a single example. Let us assume that we have to send an examination notice to three persons. We will use two files. The first file contains the complete text of the letter except the name and address of the person. The file is called the main document or the master document. Another file that is called data file or data source is used to store the names and addresses of the person to whom the letter are to be spent.

Mail merge uses the main document and then picks up the first address from the data file to print the first letter. Then picks up the next address from the data file to print the second letter, and so on. Thus to use mail merge, we have to create two documents-a main document and a data source.
